HIRING: Administrative & Operations Support Specialist

Beckmann Collaborative needs your help! We need to hire a fantastic, lovingly honest administrative and operations specialist to support our team. Are you up to the challenge? 


Job Description

This position is ideal for someone interested in marketing and relationship management. The Administrative and Operations Specialist will be the connective tissue among the Beckmann Collaborative team. What the heck does that mean? We are each heavily focused on our tasks for individual clients and in need of someone who can keep us connected with each other through your efforts such as daily updates email.


What You'll Be Doing

  • Availability Tracking: Get each team member's daily and weekly hours limit and schedule ahead (e.g. Candice is available for 30 hours per week. She cannot work on Wednesdays after 1pm). Use a calendar or other tool to track this each month.


  • Monday Planning: Review all open tasks in our project management software (Zoho Projects) and compare it against team member availability. Make suggested updates in Zoho Projects tasks to reflect new due dates or resources.


  • Monday Team Meeting: Create the agenda and send out to all team members at least 2 hours in advance. Take notes during the meeting, especially notating new tasks.


  • Daily "Tea Time" emails: Recap the open tasks due this week as well as project budgets.


  • Project Setup: Using our project management software, you will set up the project tasks for the month. Don't worry, we mostly use template lists of tasks.


  • Task Maintenance: After a meeting with a client is completed, team members will provide you with the updated notes / agenda including the list of action items. You will need to add those items in as tasks to our project management software.


  • Weekly Budget Check-In: Review the budget report and share with the team any projects approaching their budget limit so that we have time to notify clients.

  • WordPress experience. If you are comfortable adding blog posts to websites.

  • Entrepreneurial spirit. If you have ideas about ways to make things work better, improve the flow, etc.

  • Spreadsheet hacks. Since we work with clients on data quite often, strong know-how about spreadsheets is great.

  • Social Media Savvy. We can often use extra help with posting content or even writing.

  • At least 2 years experience with administrative or operations work

  • Ability and willingness to learn new software. We use the Zoho Suite.

  • Available for a minimum of 30 hours per month

Then we refine processes and build systems for our clients to implement their marketing efforts. Our headquarters is in the greater Austin, Texas area. However our team works remotely.

$17 - $24 based on experience and fit

This is a part-time, contract position
